  • TENANT REPRESENTATION

Our Tenant Representation Service (also known as Tenant Advocacy) is tailored to meet the specific demands of each assignment as the most appropriate strategy and process will differ from client to client dependent on issues peculiar to each circumstance. At the outset of any assignment we consult with our client to assess and identify the specific needs and relevant issues to establish the most appropriate way of moving forward. Components peculiar to each assignment may include all or some of the following elements:

Needs Analysis

It is important to identify and consider any implications that may be associated with the current building in relation to a continuing occupation of the premises. Depending on circumstances, consideration may be given to such things as the existing lease terms and conditions, the physical standard and performance of the building and any constraints and/or opportunities relating to either space growth or contraction.

The best outcomes are achieved for our clients following an assessment and/or confirmation of future accommodation requirements (usually undertaken in collaboration with our client). Each situation is different; however, issues to consider include current and future staffing levels, organisational structure, activities undertaken by various workgroups, workplace and locational attributes, corporate strategies, spatial analysis and base building services requirements. Input by specialist consultants such as space planners, building services engineers and the like is often required and we are well experienced in assembling appropriately skilled multi-disciplinary teams.

Market Intelligence

The gathering of market data relevant to a particular requirement is typically undertaken on a strictly confidential basis and in parallel with a Needs Analysis. The objective is to aid the development of a Premises or Accommodation Procurement Strategy through the identification of elements such as potential options, depth of supply, associated timelines and indicative costings.

The information gathered is invaluable in the setting of project budgets, project timelines and the documentation of a clear implementation plan together with aiding the client approval process for embarking on a course of action.

Premises/Accommodation Procurement Strategy

The establishment of a Premises or Accommodation Procurement Strategy is a tried and tested process that commences with an assessment of accommodation needs (Needs Analysis).

Articulation of the accommodation needs will define the broad attributes of suitable premises and facilities to serve the organisation in the longer term. Notional area (size), preferred floor plate configuration, base building services demands and desired locational attributes are but some of the elements that are identified.

Market Intelligence is gathered in order to outline indicative premises options, associated costs and availability timelines which are additional components to a Needs Analysis. These two pieces of work form the basis of a Premises or Accommodation Procurement Strategy incorporating a project implementation plan.

Market Search & Lease Negotiations

Our Market Search and Lease Negotiation services are based on a methodical process including comprehensive commercial and financial assessment of options, comprising detailed NPV and options sensitivity analysis.

The particular requirements for each assignment often differ and are typically defined by the Premises or Accommodation Procurement Strategy. The input of specialist consultants such as space planners, building services engineers and the like is often required through the process to assess the technical suitability of options in addition to identifying any matters that require to be address by building owners/developers.

Option Analysis

Our Options Analysis process utilises a robust, transparent and sophisticated assessment tool that enables a comparative assessment of options. The qualitative or benefit elements of options are assessed in addition to a detailed whole of life NPV cost analysis of options.

The basis of the qualitative or benefit elements applicable to each assignment are determined as a part of a Needs Assessment and would be documented as a part of the development of a Premises or Accommodation Procurement Strategy.

Our options analysis tool has many applications in addition to premises search.

Project Facilitation

Typically, project delivery is often the piece of the puzzle forgotten. Our Project Facilitation Services are undertaken in parallel to the premises search and lease negotiation services outlined above. The intent is to provide a level of project support to clients’ internal project personnel, including but not limited to the following:

  • Provide support to Project Control Group (PCG);
  • Establish entire project program and budget management;
  • Strategic procurement and management of specialist consultants and/or sub-consultants; and
  • Co-ordinate the input of specialist consultants/sub-consultants.

Rental Review Negotiations

Market rent reviews are commonly carried out every 3 to 5 years and/or at the exercise of an option to renew. In any rental review dispute, the parties are supposed to work together to agree on a fair market rent. However, in the event an agreement can’t be reached, and to ensure the review process is fair to both parties, most commercial leases include a clause allowing the parties to have a valuer appointed to independently determine the market rent.

From a landlord’s perspective, rent reviews are an essential component of a commercial lease. Reviewing the rent at specified intervals ensures that the rent remains in line with current market rates.

From a tenant’s perspective, whilst rent reviews provide an opportunity to reflect market rates, the rental reviews are unpredictable and therefore provide difficulties for long term business operational planning.

Our Rental Review Advisory service is based on a methodical process including comprehensive commercial rental evidence and a financial assessment of the probable rental review range based on a detailed NPV sensitivity analysis, including due regard to rental incentives in the marketplace.

The particular requirements for each assignment often differ and are typically defined by the nature of the premises and the relevant sector of the market and the current economic environment.

Our market rent reviews are carried out by our professional property valuers, based on the rent paid by tenants in comparable properties in the surrounding area, and heavily influenced by supply and demand of similar properties.
